Introduction
As school transportation requirements become increasingly dynamic, managing special trip schedules and exceptional routing scenarios requires greater flexibility than ever before. Schools often face situations where students need to be assigned to multiple drop schedules due to changing activities, special events, or temporary transportation arrangements.
SmartBus introduces the Student Flexible Schedule and Driver-Based Trip Start Control features. This enhancement enables transportation administrators to create flexible drop schedules without disrupting existing vehicle conflict validations, while also providing drivers with better control over trip execution.
Let’s explore what’s new in SmartBus for May 2026.
SmartBus Updates
1. Implement Student Flexible Schedule and Trip Start condition for Driver App
The Challenge
- Schools often face situations where students need to be assigned to multiple drop schedules due to changing or exceptional transportation requirements.
- The existing system enforced strict validation for both student conflicts and vehicle conflicts before allowing a trip to be created or modified.
- If a student was already assigned to another trip during the same time slot, the system prevented the schedule from being saved.
- This limitation reduced the flexibility available to transportation teams when managing special drop-trip scenarios.
- Drivers had limited control over initiating and managing these exceptional trips.
- Ensuring accurate trip execution, attendance tracking, and parent communication for such schedules required additional manual coordination and operational effort.
The Feature
When the Student Flexible Trip checkbox is enabled during trip creation:
- Student conflict validation is bypassed, allowing a student to be assigned to multiple drop-trip schedules for the same time period.
- Vehicle conflict validation remains fully active, ensuring that the same vehicle cannot be allocated to overlapping trips.
- The Student Flexible Trip setting can only be configured during initial trip creation and cannot be modified later.
- Regular schedules and Student Flexible schedules cannot coexist within the same drop trip, maintaining operational consistency.
The feature also introduces enhanced driver-side trip control through the Driver App:
- Student Flexible trips appear under Upcoming Trips.
- Drivers or attendants can manually start the trip within the allowed operational time window.
- A trip cannot be started before the configured buffer time or after the trip end time.
- Before starting the trip, attendance marking becomes mandatory.
- At least one student must be marked present before the Start Trip action is completed.
- If attendance is not recorded, the system prevents trip execution and displays an appropriate notification.
SmartBus automatically manages schedule visibility in the Parent App:
- Parents initially see all assigned flexible schedules.
- Once attendance is recorded on one active schedule, other conflicting schedules for that student are automatically hidden.
- Notifications continue as normal until attendance is marked.
- After attendance confirmation, parents receive updates only for the active trip.
The Benefit
- This enhancement provides schools with significantly greater flexibility in handling complex transportation requirements without compromising operational control.
- Transportation teams can now create special drop-trip schedules for students who require multiple transportation options while still maintaining strict vehicle conflict management.
- The attendance-based trip start mechanism ensures that trips are executed only when students are actually present, improving operational accuracy and accountability.
- Parents benefit from a cleaner and more relevant experience, as only the active trip remains visible once attendance is confirmed, reducing unnecessary notifications and confusion.
Conclusion
These enhancements are designed to make transportation operations more adaptable, efficient, and easier to manage. Whether it is handling flexible student schedules or temporarily combining multiple regular trips, SmartBus now provides greater control without disrupting existing workflows.
By reducing manual effort, improving operational flexibility, and maintaining accurate tracking, attendance, and notification processes, these updates help schools respond more effectively to daily transportation challenges while ensuring a smoother experience for administrators, drivers, and parents.
