Keeping your operations smooth, secure, and efficient is always our priority. This month, we’ve introduced several impactful enhancements across SmartBus and Rosterz Management, each thoughtfully developed to simplify trip planning, strengthen safety protocols, and ensure timely communication for schools, transporters, and drivers. These updates aim to provide greater control, improved visibility, and a more streamlined experience across the board.

1. SmartBus Key Updates

1.1 Compare Multiple Trip Paths in Live Tracking

We’ve added a new feature in the Live Tracking module that allows users to compare multiple trip paths on a single map view. Earlier, only one trip route could be viewed at a time. Now, users can select and compare up to 20 trip routes simultaneously, each shown in a different color for better visibility and analysis.

compare multiple trip path

How it Helps

  • Enables side-by-side trip route comparisons to identify overlaps and optimize planning.
  • Improves decision-making with better visibility of all active or past routes.
  • Saves time by allowing route comparison without switching screens.
  • Enhances user control with show/hide functionality and clearly marked checkpoints.

1.2 Download Trip Data in PDF and XLS Format

We’ve introduced a much-needed enhancement in the Create Trip module users can now download individual trip data in both PDF and XLS formats directly from the trip list. This update makes it easier to maintain structured records and share trip information with school administrators, transport authorities, and other users.

download trip data

How it Helps

  • Allows quick sharing of trip records with schools and users in downloadable formats.
  • Ensures better documentation by providing structured trip details in PDF/XLS files.
  • Saves time for admins by eliminating the need to manually prepare reports.
  • Helps transport managers keep a record of past trip assignments and student allocations.
  • Easy access to printable, well-formatted trip reports for compliance or audit purposes.
  • Maintains data consistency and accuracy by reflecting the latest modifications in trip details.

1.3 Unified Trip Planning Screen – “Plan Your Trip Order”

We’ve improved the trip creation experience by merging the two separate screens “Trip Points” and “Set Your Pickup Order” into one unified screen titled “Plan Your Trip Order.” This redesigned flow streamlines the entire process of defining trip points, applying routing, and reordering checkpoints.

Instead of switching between two screens, users can now complete the entire trip setup including adding points, using routing, setting return points, and managing checkpoint order all in one place. This update not only simplifies the workflow but also reduces errors and improves usability for transport planners and school administrators.

Unified Trip Planning

How it Helps

  • Simplifies the trip creation process by consolidating multiple steps into a single screen.
  • Reduces navigation time and eliminates the need to switch between two different views.
  • Enhances user experience with a clean, step-by-step flow based on trip creation type.
  • Supports all major creation modes Manual, Copy From, and Playback within one layout.
  • Ensures more accurate routing and checkpoint ordering with updated logic.
  • Prepares users to move smoothly into student assignment after finalizing route setup.

1.4 Vehicle Inspection (DVIR) Module in SmartBus Driver App

We’ve enabled the DVIR (Driver Vehicle Inspection Report) module in SmartBus bringing inspection capabilities directly to the Driver App. This update empowers managers to configure inspection forms, while drivers can now complete vehicle inspections (pre-trip and post-trip) directly through the app using a user-friendly, familiar interface.

With this enhancement, the entire inspection process from form creation to status reporting is now digitized and streamlined within the existing SmartBus system.

Manage DVIR Detail

How it Helps

  • Enables pre-trip and post-trip vehicle inspections for safety and compliance directly from the driver app.
  • Allows managers to design custom inspection forms aligned with school policies.
  • Supports both pre-trip and post-trip inspections based on trip schedules.
  • Ensures only assigned vehicles can be inspected, maintaining accountability.
  • Forms and UI are consistent with the current design for seamless user experience.
  • DVIR status impacts vehicle availability vehicles marked as “In Repair” or “Accident” won’t appear in trip creation.
  • Keeps the inspection reporting isolated from other platforms for independent control and customization.

1.5 Alerts for Transporter Vehicles Assigned to School Trips

We’ve updated the alert system to ensure that transporter vehicles assigned to school trips now generate alerts just like school-owned vehicles. Whether the assignment is permanent, temporary, or emergency-based, these vehicles will now follow the school’s alert configuration ensuring no notifications are missed by parents or school managers.

How it Helps

  • Ensures alerts are triggered for all assigned vehicles, regardless of ownership.
  • Maintains continuity in parent and school communication during outsourced trips.
  • Supports real-time alerting across all standard manager alert types.
  • Reduces confusion and improves reliability in school transport notifications.
  • Works seamlessly for all vehicle assignments, permanent, temporary, or emergency.

2. Rosterz Management Key Updates

2.1 Bulk Trip Upload in Employee Trip Planning

To simplify and speed up trip creation for employee transportation, we’ve introduced a Bulk Insert feature in the Employee Trip Planning screen. Users can now upload multiple trips at once using a structured Excel file. This eliminates the need for manual entry of each trip and makes planning easier especially for large teams or daily scheduling operations.

Bulk Trip Upload

How it Helps

  • Speeds up trip creation by allowing multiple trips to be uploaded in one go.
  • Reduces manual errors and repetitive data entry tasks for transport teams.
  • Provides a structured and user-guided process with sample files for accuracy.
  • Automatically highlights errors in uploads so users can correct and reprocess them easily.
  • Supports both one-time and daily schedules with validation at every step.
  • Enhances operational efficiency for companies managing large workforce commutes.

Conclusion

With these upgrades, we’re making it easier for school admins, transport coordinators, and drivers to manage daily transport tasks with confidence. Whether it’s through simplified trip creation, real-time alerts, or structured inspection workflows, every update is designed to bring clarity and consistency to your operations. As always, we’re committed to evolving SmartBus and Rosterz into even more intelligent and responsive platforms built around your everyday needs.
